Better Box Rentals LLC — Equipment Rental Agreement
This agreement explains the terms for renting reusable moving totes, Tote Taxi dollies, and the optional Heavy-Duty Hand Dolly from Better Box Rentals LLC. Please review it before completing your booking. Your completed Order Summary, this agreement, and any written changes accepted by both parties establish the terms of your rental.
Your Order Summary must include your delivery and pickup addresses, rental dates, equipment quantities, and all agreed charges before payment. Preferred service times are requests; Better Box Rentals will separately confirm your delivery and pickup windows.
1. Booking and payment
“Company” means Better Box Rentals LLC. “Customer” means the person or business identified in the Order Summary. The signer must be at least 18 and authorized to bind any named business. A reservation is confirmed when Company accepts it in writing, Customer accepts this agreement, and full payment is received. A quote or unconfirmed request alone does not reserve equipment. Requests with less than 24 hours’ notice require Company approval.
Full payment is due at booking. There is no security deposit or authorization hold. Taxes and any approved delivery, pickup or access charges must appear in the total before payment. Company may not add an undisclosed fee or change an accepted price without Customer’s agreement.

Packages include the listed totes and Tote Taxis, clear label sleeves and blank 3 × 5 cards, and delivery and pickup within the service area below. Cards are consumable and need not be returned. Totes, lids, sleeves and dollies remain Company property. Room-size or tote-quantity suggestions are estimates; household contents and packing needs vary.
The Heavy-Duty Hand Dolly is a separate, optional add-on: $29 for the initial 14 days, subject to availability. It is not a Tote Taxi and is not included in any package, even when shown in a group photograph. Approved hand-dolly extensions cost $15 for each additional seven days, subject to availability. The extension charge must be accepted and paid before the extension begins. Extra packing supplies are not offered.
The standard rental includes 14 calendar days. For example, delivery on the 1st means pickup on the 15th. The confirmed dates control; the time of day does not shorten the included period. Company-caused delivery delays will be addressed through adjusted dates or a fair credit agreed with Customer. Early return does not reduce the package price, except where this agreement or applicable law provides a refund.
3. Included delivery and pickup area
Delivery and pickup are included when BOTH service addresses are within Herriman, Riverton, Bluffdale, South Jordan, West Jordan, Sandy, Draper or Lehi, Utah. The delivery and pickup addresses may be different. Eligibility is based on the actual locations, not merely a mailing-city label. An address outside this area requires a separate quote accepted before payment and confirmation.
There is no mileage surcharge within the included area. Customer must request address changes before service. Company will confirm eligibility and any revised price in writing before accepting a change. If a change cannot be served, the existing reservation remains in place unless the parties agree otherwise or Customer cancels under Section 9. Company will not collect an unapproved additional fee.
4. Scheduling and access
Service is scheduled between 8 a.m. and 7 p.m. Customer selects a preferred delivery window and a preferred pickup window. These preferences are not guaranteed appointments. Company will confirm a two-hour window for each visit, ordinarily at least 24 hours beforehand; short-notice bookings require an expressly agreed window.
Standard service is a safe, ground-level handoff at an agreed accessible location near legal parking. Customer must disclose stairs, gates, elevators, restricted parking, long carries and other access limitations. Additional assistance or special access requires prior written approval and any agreed charge. Company does not provide packing, moving, loading or room-by-room placement. No customer collection or return at Company’s private dispatch location is offered.
5. Handoff, condition and equipment care
An adult authorized by Customer must be present unless Company has approved unattended service in writing. For unattended delivery, the parties must agree on a specific safe location and access instructions. Company will document placement and notify Customer. Responsibility begins upon attended handoff or correctly completed authorized unattended delivery; Customer is not responsible for Company leaving equipment at an incorrect or unauthorized location.
Customer is responsible for safeguarding equipment until Company physically collects it, subject to the fault and ordinary-wear protections in this agreement. Company will document quantities delivered and collected. A pickup receipt confirms the count, but does not rule out damage that could not reasonably be seen at collection. Company will report such damage promptly with supporting evidence.
Company will provide equipment that is cleaned, sanitized according to the cleaning-product label, dried and inspected. Equipment is not represented as sterile, waterproof or suitable for every material. Customer should inspect it at delivery and promptly report missing, dirty, damaged or unsafe items, preferably within 24 hours. This request does not waive a claim for a hidden defect or a right provided by law.
Stop using unsafe equipment and contact Company. Company will reasonably repair, replace or refund the affected rental charge. If a material defect prevents the intended rental use and cannot be promptly resolved, Customer may cancel the affected rental and receive an appropriate refund. These remedies do not limit nonwaivable legal rights.
6. Safe use and permitted contents
Customer is responsible for packing, lifting, loading, securing and transporting personal belongings. Use equipment only for its intended purpose and within manufacturer limits. Close lids, distribute loads evenly, keep stacks stable and secure equipment during transport. Do not stand or ride on equipment, allow unsafe play, or use dollies on stairs. Use Tote Taxis on suitable smooth, level surfaces.
The Heavy-Duty Hand Dolly must be locked in the correct configuration before use. Its advertised “up to 800 lb” capacity is configuration-dependent; follow the equipment label for the mode being used. That rating does not apply to the totes or Tote Taxis. Ask Company for instructions if uncertain.
Do not place anything in or on the equipment that is likely to damage, deface, destroy or contaminate it or create an unsafe condition. Examples include leaking liquids, exposed sharp edges, corrosive substances, hot materials, infestation or hazardous contamination. Ordinary household belongings are permitted when properly contained and protected. Do not drill, alter, paint or write on equipment or apply adhesive labels or tape to it; use the supplied label sleeves and cards.
Keep equipment reasonably protected from weather, theft and misuse. Do not sell, pledge or subrent it. Customer may allow responsible helpers to use it consistently with this agreement. Report theft, loss or damage promptly and cooperate with reasonable documentation requests. Company may request that unsafe use stop; it may recover equipment only by consent or lawful process, without forced entry.
7. Extensions, pickup and overdue equipment
Request an extension at least 48 hours before the scheduled pickup. Extensions require Company approval and available inventory; a request alone does not change the pickup date. Approved package extensions are in seven-day increments at the prices in Section 2 and include the package’s Tote Taxis. Pay the agreed extension charge before the extension begins. There is no automatic renewal.
For pickup, empty totes, remove personal belongings and loose debris, and gather all equipment and lids in the agreed location. Routine cleaning is Company’s responsibility. Customer need not sanitize the equipment. Report any quantity discrepancy at handoff; Company will provide the collected count.
A $50 failed-visit fee may apply when Company arrives during the confirmed window but cannot complete service because equipment is not ready, an agreed adult is absent, or disclosed access has not been provided. Company must attempt to contact Customer and allow a reasonable opportunity, at least 15 minutes, to resolve the problem. Only one failed-visit fee applies to the same visit. There is no fee for Company error, arrival outside the confirmed window, or a delay excused by Section 12.
If Customer keeps equipment beyond the confirmed pickup without an approved extension, the overdue charge is $25 per order for each started 24-hour period after the missed pickup window. It is not charged per tote. Total overdue charges are capped at the lesser of $175 or the applicable replacement value of the outstanding equipment. For a partial return, charges may not exceed that same limit for the items still outstanding.
Overdue charges stop when Customer notifies Company that all outstanding equipment is empty, ready and accessible at the agreed pickup location and provides reasonable access for collection. They do not accrue because of Company’s route or scheduling delay. Customer must continue safeguarding equipment until collection. Approved extension fees and overdue charges will not cover the same time period.
For equipment reported lost, or still unreturned after written demand and a seven-day opportunity to arrange return, Company may seek the replacement amount under Section 8. Overdue charges stop when Company elects replacement. Company will not recover twice for the same loss. If equipment is recovered within 30 days after a replacement payment, Company will refund that payment less otherwise valid unpaid charges and documented repair costs, within the limits below.
8. Damage, loss and exceptional cleaning
|
Item / condition |
Maximum or applicable charge |
|
Tote with lid / lid alone |
$25 per tote with lid; $10 for lid alone |
|
HDX Tote Taxi |
$40 per unit |
|
Heavy-Duty Hand Dolly |
Documented reasonable cost of an equivalent replacement |
|
Exceptional tote cleaning |
$3 per affected tote; $15 minimum per affected order |
The replacement figures are limits, not automatic penalties. Customer owes reasonable documented repair or replacement loss for equipment lost, stolen or damaged while in Customer’s care, except ordinary wear, preexisting damage, a defect, or loss caused by Company. Equivalent replacement must account for condition and avoid betterment. A lid charge cannot be added to a full tote-and-lid replacement charge.
8. Damage and cleaning (continued)
Routine dust, minor scuffs and ordinary use are included in the rental. Exceptional cleaning applies only to excessive residue, pet hair, mud, food, odors or other contamination requiring work beyond routine cleaning. Company must identify the affected items and provide photographs or other supporting records. There is no cleaning fee simply because equipment has been used.
Cleaning, repair and replacement charges for the same item must not duplicate the same loss or collectively exceed its applicable replacement value. The $15 cleaning minimum is subject to this limit. Damage to reusable sleeves is handled as part of the affected tote, not as an undisclosed separate fee. No speculative future bookings or undisclosed administrative penalties will be charged.
9. Cancellations and refunds
Email cancellation requests to hello@betterboxrentals.com. Deadlines are measured from 8 a.m. Mountain Time on the original scheduled delivery date, regardless of the preferred or later confirmed delivery window. The time Company receives the request controls, including outside support hours.
|
Notice before delivery reference time |
Refund before equipment is delivered |
|
At least 72 hours |
Full refund |
|
24 hours to less than 72 hours |
Refund less $50, capped at the amount paid |
|
Less than 24 hours |
50% of the package price refunded; undelivered optional add-ons and unperformed separately priced services refunded |
|
After delivery / voluntary early return |
No refund for unused time, except as otherwise provided in this agreement or required by law |
Any refundable tax will be adjusted as required. Company will initiate an approved refund to the original payment method within five business days; the financial institution controls posting time. Store credit is not substituted without Customer’s agreement. Company will not stack cancellation and failed-visit charges for the same canceled delivery. These amounts apply only to the extent permitted by law and may not create an unlawful penalty or duplicate recovery.
10. Rescheduling
One date change requested at least 48 hours before the original delivery reference time is free, subject to availability. A change requested with less than 48 hours’ notice, or an additional change, costs $25 if accepted. A failed-visit fee, when properly applicable, replaces the $25 charge for the same event. A request is not effective until Company confirms it.
Rescheduling does not reset a cancellation deadline that has already passed. For a later cancellation, use the earlier of the original and revised delivery reference times. A rescheduling fee already paid will be credited against any cancellation amount for that same reservation. Company-initiated changes are not subject to a customer rescheduling fee.
11. Saved payment method and later charges
With Customer’s separate authorization below, Company may use a payment method securely stored by its payment processor for charges specifically permitted by this agreement: approved extensions, accepted address or access changes, applicable cancellation or failed-visit charges, overdue charges, exceptional cleaning, and documented damage or loss. Company will not store a card security code or request full card details by email.
Before charging the saved method for a later amount, Company will email an itemized notice at least 48 hours in advance, showing the amount, reason, applicable agreement provision, supporting records where relevant, and proposed charge date. Customer may expressly approve an earlier charge for a requested extension or other newly accepted service. Silence does not authorize an unlisted fee.
If Customer disputes a proposed charge before processing, Company will pause the disputed charge and review the explanation and evidence. Company will not process the disputed amount without further agreement; unresolved claims may be pursued through lawful dispute procedures. Undisputed amounts remain payable. Customer may withdraw permission for future saved-card charges by email; withdrawal does not erase a valid debt. Company will provide a receipt for each charge and an invoice for amounts payable by another method.
A stored payment method does not guarantee that a charge will succeed. A declined payment does not permit an undisclosed fee. Nothing in this agreement waives a right to dispute a transaction with a bank or card issuer. Company will promptly investigate billing errors and correct improper charges.
12. Company delays and events outside control
Company will promptly communicate a missed window, material delay or unsafe weather condition and offer a reasonable alternative. If Company cannot deliver as agreed and Customer does not accept a replacement arrangement, Company will refund the undelivered rental and related unperformed services. For a material interruption after delivery, the parties will arrange a fair adjustment based on lost use.
Neither party is responsible for a failure caused by circumstances beyond reasonable control that could not reasonably be avoided, such as road closure or severe weather. The affected party must promptly notify the other and reasonably limit the disruption. This does not erase payment for services already provided or require Customer to pay for services never provided. No overdue or failed-visit charge applies where equipment is ready and pickup is delayed by Company or an agreed safety postponement.
13. Responsibility and legal protections
Customer remains responsible for personal belongings, appropriate packing, safe use and supervising helpers. Company does not transport or insure Customer’s belongings and does not provide moving services. Company remains responsible to the extent its negligence, defective equipment, breach or other unlawful conduct causes loss. Customer is not required to release Company from its own negligence or accept all risks regardless of fault.
Each party is responsible for its own conduct and the loss it legally causes. No broad duty to defend or indemnify Company is imposed on Customer. Ordinary wear and preexisting damage are excluded from Customer’s equipment responsibility. Neither party may recover duplicate compensation. Nothing limits liability or remedies that cannot lawfully be limited, including applicable consumer protections and personal-injury rights.
14. Communications and agreement administration
Send requests, changes, disputes and notices to hello@betterboxrentals.com. Company will use the Customer email in the Order Summary for written notices. Customer must keep contact and access details current. Requests are measured by receipt time, not by when staff replies. Phone discussions that change dates, addresses, equipment or prices must be confirmed in writing by both parties.
Utah law governs, subject to applicable federal law and any other nonwaivable rights. A dispute may be brought in a court with lawful jurisdiction and venue, including an eligible small-claims court. This agreement does not require arbitration, waive a jury or class action, confess judgment, or shorten a statutory claim period. Attorney fees or collection costs are recoverable only as permitted by law or court order, without duplicate recovery.
Company may end the rental for a material breach after written notice and a reasonable opportunity to cure, except that unsafe use may be required to stop immediately. Return and recovery must be lawful. Termination does not permit Company to keep amounts beyond charges and losses it may lawfully recover. If a provision is unenforceable, the remaining provisions continue to the extent lawful.
The accepted Order Summary and this version of the agreement control this rental. A specific written exception accepted by both parties controls over a conflicting general term, subject to law. Later website revisions do not retroactively change this agreement. No employee’s oral statement alone changes a price, return obligation or waiver.
15. Electronic records and acceptance
Customer may choose electronic records and signatures for this rental, including the agreement, order confirmation, changes, receipts and charge notices. To access and keep them, Customer needs a working email address, an internet-connected device and software capable of opening, downloading or printing standard web pages and PDF files. Company will provide a downloadable or emailed copy of the accepted terms and order.
Customer may request a paper copy, update the email address, or withdraw electronic-record consent by emailing Company. Paper copies and withdrawal carry no fee. Withdrawal applies prospectively, does not invalidate records already provided, and requires the parties to arrange paper delivery for future required notices. Electronic signing is optional; contact Company to arrange a paper agreement before booking. This consent does not authorize promotional texts or emails.
Select or initial each applicable statement separately. Electronic selections must be affirmative and must not be preselected.
□ I can access, download or print this agreement and consent to electronic records and signatures for this rental. (Omit this selection for paper signing.)
□ I have read and accept the Order Summary and this Rental Agreement, including the rental dates, prices, cancellation policy and responsibility for equipment.
□ I authorize the processor to retain my payment method and Company to charge it only as described in Section 11, including the 48-hour notice and dispute process. This is not an authorization hold or a security deposit.
